Privacy Policy

1. Controller and scope

Maria Inês Dias, operating as Sorted by Inês, is the controller for service enquiries and correspondence handled by her. Contact: hello@sortedbyines.com or +351 938 978 956. This notice explains how information is used when you visit Left in Lisbon, contact us or arrange a service.

2. How the request form works

When you submit the form, the details you enter are sent to FormSubmit, which forwards the enquiry to hello@sortedbyines.com after mailbox activation. FormSubmit may provide a security check before completing submission. See the FormSubmit privacy information. The form collects your contact details, item and location details, intended destination and any optional item photographs so we can respond to your request. Submitting it does not book or pay for a service. You may contact us directly by email or telephone instead.

3. Website access and cookies

The site is hosted through OpenAI Sites, with hosting infrastructure that may process technical data such as IP address, request details, security logs and account authentication information. The hosting platform may require ChatGPT sign-in; platform processing is described in the OpenAI Privacy Policy. We have not added analytics, advertising trackers, marketing cookies or embedded payment scripts in our site code. Hosting authentication and essential security storage may still apply. Typography is loaded through Google Fonts. This causes your browser to contact Google servers and disclose technical information such as your IP address and request headers. See Google Fonts privacy information. These font requests are separate from our enquiry form. This is not a claim that the hosting platform processes no personal data.

4. Information we use

If you contact us separately or later book a service, necessary information may include your name, email, relevant telephone number, item description and value, last known location, dates, reference numbers, holder contact details, authorisation, delivery address and correspondence. Billing and payment references may also be required. Do not provide unrelated sensitive information. Proof of ownership, if necessary, should be requested through an appropriate secure channel, with unnecessary details redacted.

5. Purposes and legal bases

Responding to a requested quote and assessing feasibility are steps taken at your request before a contract. Carrying out an accepted booking and communicating with relevant holders and logistics providers are based on performance of that contract. Required invoicing and accounting are based on legal obligations. Proportionate security, fraud prevention and management of legal claims may be based on legitimate interests, subject to your rights. Optional marketing would require an appropriate separate choice; submitting an enquiry does not subscribe you to marketing.

6. Recipients and international transfers

For an agreed service, necessary information may be shared with the item holder, collection or packaging partner, carrier, customs representative and relevant authorities. Hosting and email providers process technical data and correspondence in their respective roles. FormSubmit processes form submissions for email delivery; no courier or payment integration is connected to this form. The providers used for your booking and any payment arrangements are confirmed directly. Delivery outside the EEA may require relevant data to be shared outside the EEA. Where GDPR transfer rules apply, an appropriate transfer mechanism must be established before transfer. You can request details of the recipients and applicable safeguards using the contact above.

7. Retention and security

FormSubmit states that it retains form submission records for 30 days; uploaded files are not retained for access through its API. Optional photographs are sent as email attachments and are retained with the relevant correspondence for the service purpose. Form submissions are processed by FormSubmit and delivered by email; this site does not create its own service enquiry database. Correspondence sent separately is kept for the time necessary to deal with the enquiry or agreed service, resolve outstanding issues and meet applicable legal obligations. Contract records may be retained where necessary for legal claims; accounting records follow statutory retention requirements. Retention depends on whether the matter becomes a booking, whether an issue remains open and whether a legal duty requires preservation. Hosting providers manage technical logs under their own applicable arrangements. Contact us to ask about records relating to you. Access is restricted to those who need it; no transmission or storage method is absolutely secure.

8. Your rights

Subject to applicable conditions, you may request access, correction, erasure, restriction and portability, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. We may request proportionate verification and normally respond within one month; lawful extensions must be explained. For privacy requests, use hello@sortedbyines.com or +351 938 978 956. You may complain to Portugal’s CNPD or another competent supervisory authority.
